Types of Background Checks

Local background checks cover incarceration at the Butler County Jail only. These are processed while you wait and are given directly to you.

State and national background checks use the electronic WebCheck. They are available Monday thru Thursday between the hours of 8am and 3pm. No appointment is necessary. Two different types of WebChecks are available: State of Ohio BCI & I, and National FBI. Both are fingerprint-based background checks. Results for both come directly from the State of Ohio Bureau of Criminal Identification and Investigation and can take up to 30 days to be mailed out.  You must verify with your employer and mark down what O.R.C. Code – Reason for fingerprinting they are requiring you to complete. You can find the BCI and FBI reason codes below.  Results cannot be forwarded from the Sheriff’s Office to another address, so be sure you have the correct and complete mailing address with you at the time you come in.

Fees are payable in cash only. You will need to bring with you state-issued photo identification along with the complete mailing address for where the results are to be sent. National FBI results cannot be mailed to yourself, a residential or out of state address.

Scheduling an Appointment

Arriving late and/ or failing to bring all necessary items to your appointment will result in a cancellation of your appointment and will require you to reschedule at a later date.

Do not bring your firearm to the Butler County Sheriff’s Office.

You need to bring a self-addressed, stamped envelope to your appointment to receive your CCW / Concealed Handgun License. There are no exceptions to this.

All new or renewing applicants are required to bring a completed application.


Due to high volume of calls and voicemails, the CCW Office will not be accepting calls or voicemails for the foreseeable future. Please review the information located on this page regarding applying for a license, change of address, etc. There is a also information on the Ohio Attorney Generals website. The Concealed Carry Law handbook, and updates on the Concealed Carry License can be found on the Ohio Attorney General’s website at Ohio Attorney Generals Office Concealed Carry Information. The booklets are no longer printed and must be accessed on the website.

The Concealed Carry License Unit processes first-time and renewal licenses for the Butler County Sheriff’s Office. You must schedule an appointment to apply for a new or renewal CCW license and bring required items listed below to your appointment. If you are not prepared with the items listed you may be required to reschedule your appointment.


You will receive your license or letter of denial within 45 days from your appointment. Please do not call or inquire about the status of your application before then.

New and Renewal CCW applications are by appointment only. Appointments are available during the following hours:

Appointments can only be booked a limited number of days away from today’s date. If you’re trying to book an appointment that’s far out (for example, a month away), you’ll get a message that says, “Not Available”. Rest assured, as the date you’re interested in approaches, there will be appointments available on or near that date. Having this restriction in place helps cut down on “no-shows” and allows us to manage the division more effectively. The current number of days away an appointment can be made can be found in “details” when you click the appointment type you’re trying to book. We appreciate your understanding and cooperation. For original first-time license:
  • Completed current application.
  • A copy of your firearms training certificate.
  • A valid Ohio driver’s license or state ID card.
  • Exact fees. (See fee chart)
  • Self-addressed stamped envelope.
For a Renewal Application, if original application filed through Butler County:
  • Completed current application.
  • Current CCW license.
  • A valid Ohio driver’s license or state ID card.
  • Exact fees. (See fee chart)

For a renewal Application if original issued by another County:

For a replacement of Damaged, Lost, or Stolen, etc. License:
  • Police report, affidavit attesting to the loss or destruction of the license.

For an Emergency / Temporary License:
  • Completed, current Temporary Emergency CCW application from the Ohio Attorney Generals website.
  • A sworn statement that states he/she has reasonable cause to fear a criminal attack.  Such documents may include temporary protection orders, civil protection orders, a court order, and any report filed with or made by a law enforcement agency or prosecutor.
  • A valid Ohio driver’s license or state ID card
  • Exact fees (See fee chart)
For Active Duty and Military Veterans:
  • Completed current application
  • A copy of firearms training certificate or Military record of proof of small firearms training equivalent to Ohio’s requirements of CCW.
  • A valid Ohio driver’s license or state ID.
  • Proof of Honorable discharge for waiver fees.
  • Self-addressed stamped envelope.
For a Change of Address:

Ohio law requires you to notify the county sheriff’s office at which you obtained your concealed carry license within 45 days after a change of address. Address changes sent by E-Mail are not accepted.

For a Name Change:

You must schedule an appointment for a “replacement license.”

  • Have proof of name change, e.g., updated driver license, state ID, divorce papers, court order, marriage license.
  • Exact license fees (please refer to chart).

This process, required by law, modifies the record held by our agency in the event you need to be contacted regarding suspension, revocation, or administrative purpose.

If you wish to obtain a CCW license with your new address and/or name change you may do so by scheduling an appointment. A fee of $15 will be due at the time of your appointment in the form exact cash,  money order, or official bank check (personal checks are not accepted) already completed and made payable to “Treasurer of Butler County”.

Classification

 

The purpose of inmate classification is to provide fair and consistent guidelines in determining inmate assignments (pre-sentence and post-sentence) to housing areas, security levels, treatment and program services. The plan is to ensure that such decisions are made to the benefit of both the facility and the inmate and will ensure that proper documentation is maintained of such decisions. Classification information shall be managed in a fashion which allows monitoring and evaluation of facility programs, planning and budgeting.

The classification / assessment system shall provide for the management and confinement needs of the Butler County correctional facilities and inmates for their protection, the safety of other inmates, to prevent escape and to protect the general public. The risk and needs of each newly admitted inmate shall be assessed and addressed individually, based on objective and identifiable criteria, which provides for placement of the inmate in the least restrictive housing, compatible with his or her assessed risk and needs.

Classification procedures shall be administered equitably and consistently, without discrimination against any individual based on sex, race, color, creed, culture, background, physical or mental handicap, religious practice or national origin.

A classification record shall be maintained for each inmate. The record shall contain all available information concerning current offense, prior offense(s) and past / present institutional records, including the inmate’s complete disciplinary history and history of medical or mental health conditions requiring special housing considerations.

The Hiring Process

The first phase of the hiring process requires that the application be completed in its entirety. Resumes may accompany the application but may not be substituted for any part of it. The application is reviewed for completeness, legibility, grammar/spelling and content.

Completed applications will be forwarded to the background investigator who will contact the applicant to arrange for a more extensive questionnaire to be completed by the applicant. After the return of questionnaire, the investigator may contact the applicant for an initial interview. During the interview, the investigator will assure all release documents have been signed to continue with a more extensive background investigation.

The background investigation will be preformed in a thorough and confidential manner to ensure accurate and fair results for both the applicant and the Butler County Sheriff’s Office. During this phase of the process, the investigator may check the applicant’s driving record, criminal history, arrest record, credit history, education, military records, employment history and applicant’s contact with law enforcement. The investigator may contact the listed reference or past/present employees. The investigator may visit the applicant at his/her home. While in the area, the investigator may interview family members or neighbors of the applicant. Applicants may also be requested to comply with a polygraph examination, drug screen, psychological evaluations, physical examinations and physical agility test.

Candidates who have successfully completed the hiring process will be placed on a reserve list. The candidates are hired based on training, education, background investigation and experience. New hires will be on a one year probationary period, during which time they will be trained in the knowledge and the skills necessary to perform their assignments. Periodic evaluations will be conducted to ensure that they are learning these skills. Employees who successfully complete their probationary period are launched into an exciting career with many advancement opportunities at the Butler County Sheriff’s Office.

Locations

The Butler County Sheriff’s Office has several facilities, throughout the county, in order to serve its citizens and fulfill its statutory duties.

Three facilities are located in Hamilton, Ohio. The jail and headquarters facility on Hanover Street has a public lobby that is open twenty-four hours a day. The Court Street Jail and the Resolutions Jail are currently housing inmates.

Human Resources / Payroll

 

The Human Resources unit of the Butler County Sheriff’s Office:

  • maintains and organizes all personnel and medical files for employees
  • ensures that worker’s compensation claims, Family Medical Leave Act, light duty assignments, employee benefits and health insurance, are processed effectively

  • is responsible for risk management and benefits

Warrant / CSEA Service

 

The Warrant / CSEA Service unit consists of 5 Deputies and one Clerical Specialist. The  unit’s primary responsibility is to locate and apprehend subjects who are wanted and have active warrants on file with the sheriff’s office.

One of the deputies puts in many long hours researching different databases for information to assist in tracking and locating these wanted subjects so that they can be arrested and taken to court for their outstanding warrant.

The unit also specializes in Child Support Enforcement and works closely with the Butler County Child Support Enforcement Agency (CSEA). As part of their daily duties they serve subpoenas and summons for CSEA. These deputies must also assist all other units of the sheriff’s office when necessary for transports, road patrol, jail, investigations, civil, etc. Several of these deputies focus largely on locating and apprehending subjects who are wanted by the courts for failure to appear for child support hearings or who fail to pay their child support.

The Warrants Unit consists of six deputies and one clerk. The unit received 7,071 warrants and served 6,074 in 2015. At year end, there were 6,395 active warrants. The unit is responsible for a quarterly Most Wanted poster and also does a weekly Most Wanted that goes to the Sheriff’s Office website and social media followers. The unit has received nu-merous tips throughout the year that have resulted in multiple arrests.

Due to high number of the child support warrants, they cannot be entered into the LEADS (Law Enforcement Automated Data System) database and can only be entered in the Sheriff’s RMS (Records Management System) so that they can be accounted for and maintained. All other warrants are entered into the RMS System and LEADS System. Felony warrants also get entered into the NCIC (National Crime Information Center) system.

The Clerical Specialist is responsible for entering these warrants that are received by the Sheriff’s Office into the RMS System on a daily basis as well as returning the appropriate portion of the warrants back to each court so that the courts know that the subject has been arrested and an arraignment date can be set. The Clerical Specialist assists the general public, attorneys, bonding company representatives, and other law enforcement agencies in answering questions and inquiries pertaining to outstanding warrants. The Clerical Specialist also receives many phone calls with helpful tips on locating subjects who are wanted, whether it is for a child support warrant or one of the other many felony or misdemeanor warrants on file. These tips are passed along to the warrant deputies to help aide them in the apprehension of wanted individuals.

One of the five deputies is responsible for the Fugitive Extraditions and Rule 4 hearings that must be done in accordance with the rules and procedures of the Ohio Revised Code. This deputy’s main responsibility is to coordinate between the different law enforcement agencies, and assist with the apprehension and return of wanted individuals back to Ohio. All of the deputies in this unit may at times have to schedule long trips to transport subjects that have been arrested on our warrants back to Butler County Ohio from various states.
